Administrative Assistant – Watertown Job Description

The Administrative Assistant – Watertown is a part-time position that is responsible for a variety of support tasks for the Hope Watertown location. A primary focus of this role will be providing ongoing support to Hope Watertown volunteers, along with the coordination of local events and initiatives within the Watertown community. This role reports to the Hope Watertown Pastor. It is a salaried position and will start around 20 hours per week.

Primary Responsibilities

Sunday Morning Support

  • Schedule all Sunday morning volunteers for Hope Watertown.

  • Serve as the Sunday morning contact for all Hope Watertown First Impressions teams, including coffee, greeting, parking, and The Hub.

  • Communicate with volunteers regularly about specific weekend plans and responsibilities.

  • Answer questions and help with any special activities related to the weekend.

  • Help with onboarding and training new volunteers.

Hope Watertown Liaison

  • Provide support for the Hope Groups that take place in Watertown, including scheduling and group materials.

  • Serve as the liaison for community initiatives and involvement, including the Watertown.

  • Chamber of Commerce, Shared Community Mission Group, and any additional initiatives.

  • Help to plan and execute any community-specific events, including outdoor services and allcommunity events.

Database Management

  • Update and manage Hope Watertown contacts in Planning Center.

  • Provide support for new guest follow-up and sign-up for serving, groups and other Hope Watertown events.

Qualifications

  • Proven database management experience; knowledge and experience with Planning Center or similar CMS is preferred.

  • Knowledge of office management systems and procedures.

  • Working knowledge of general office equipment (Copier, printer, etc.)

  • Proficiency in the MS Office Suite.

  • Excellent time management skills and the ability to prioritize and self-direct.

  • Attention to detail and problem-solving skills.

  • Excellent written and verbal communication skills.
